These terms and conditions, which are registered under the company number 193941/075/076, regulate the legal relationship between you, the client, and Highland Eco Trek (P) Limited.

Porter’s Maximum Weight
Porters contribute significantly to the comfort and enjoyment of your journey. But they are also human beings! Please be aware that a porter is only allowed to carry a maximum of 20 kilograms on any one journey. A little less or more weight is irrelevant. Additionally, your porter must carry an additional 4-5 kg of luggage. Therefore, please consider carefully what you want to bring on the walk. Additionally, the hotels and lodges will provide a luggage storeroom service, allowing you to leave any personal belongings, shoes, and non-essential apparel in an extra bag.

Reminder: At the time of deposit, consumers are responsible for paying any bank service fees.

To make a credit card payment, please email us or get in touch with us. Please be aware that we only accept Visa and MasterCard, and that due to bank commission, there will be an additional 4% charge for card processing costs on top of the package bills.

Final Payment:

At the currency rate in effect on the day of payment, all major currencies (USD, EURO, GBP, SGD, CAD, and AUD) are accepted.

Every trip cost is displayed in US dollars. If you pay online, your credit card company will determine the actual currency rate.

Note that we do not include the 13% bank fee that comes with using a credit or debit card for final payment; thus, we do not recommend doing so. Therefore, we advise you to pay the remaining balance in cash rather than using a credit card or bank transfer.

Policy for Cancelling Trips
We acknowledge that unanticipated events and changes in plans occasionally force a client to cancel their vacation. As a result, we have put some policies in place. As a result, the client must send a notification of cancellation along with a legitimate explanation or reasons, and the reimbursement process will proceed as follows:

Less than 45 days before the departure date, cancellations will result in a 20% deduction from the total cost of the trip. without taking into account any transaction fees.
A 30% deduction from the total cost of the trip will be applied to cancellations notified less than one month before the departure date. (transaction fees not included.)
Refunds are not possible if cancellations are made less than a week before departure or when the traveler arrives in Nepal. As a result of our early reservations for all hotels, flights, transportation, and tours, we are unable to issue refunds. Generally speaking, please notify us as soon as possible if you need to make changes to your arrangements. Rather than canceling your vacation, we would advise you to push it forward.
If you are receiving a refund, we will handle it right away, but it may take the bank 10 to 15 days to complete. Do not rush anything.

Policy for postponing or transferring trips
Thirty days before the tour departure date, you need to send us written notice.
If the visits to Nepal are postponed, you will be charged $100, and if the excursions to Tibet are postponed, you will be charged 50% of the total fee.
You have up to 30 days before the journey to transfer your reserved spot to another fit individual. All you need to do is email us the request; we’ll take care of the rest. The new participant must obtain all necessary paperwork for the walk, which must be properly signed.
Trip Completion or Early Return
There are occasions when hikers complete their journey ahead of time or return early for several reasons. Because we have to pay our guides and porters for the number of original days that were reserved, fees in these situations are non-refundable.

Last-minute Reservations
We also take reservations at the last minute. One day before the trip’s departure, you can make travel arrangements to Nepal. However, because of aircraft reservations, we advise arranging your trip to the Everest Region at least one week in advance, especially during the busiest seasons. For the Tibet tour, we might not be able to accommodate last-minute reservations.

Travel Insurance
It is highly recommended that clients obtain comprehensive travel insurance that includes coverage for all medical costs, emergency helicopter evacuation, personal accidents, prescription drugs, natural disasters, and loss or damage to luggage, equipment, or other personal possessions. You should verify your insurance policy to make sure that, in any of the aforementioned situations, all expenses will be paid for upfront. Several insurance products may cover travel delays. If your flight from Lukla is canceled, this coverage will come in handy because it will allow you to reschedule your international flight or rent a helicopter instead. If your insurance company requests any documentation, our staff will help you get it. To ensure you have the right coverage, you must make sure your insurance provider is aware of all of these things and terms. If you wish to file an insurance claim in Nepal, you must obtain a hospital report as soon as you are released from the hospital. Once they reach a lower level, hikers suffering from altitude sickness usually feel better, but it’s crucial to obtain the appropriate medical paperwork for claims. The hospital will bill you for the medical report your insurance needs.

Note: Your insurance coverage must also include “climbing” as an activity if you want to attempt to climb one of the trekking peaks.

Highland Eco Trek exclusively offers insurance to its guides and porters.

Any evacuation costs or medical expenses that you incur while in Nepal are your responsibility. Thus, confirm that your insurance company covers all of these occurrences.

Cancellations and Delays of Domestic and International Flights
Please be aware that the Himalayan weather is seldom dependable. The frequency of flight cancellations and delays has increased, and aviation schedules are not as dependable as one might think. It may be postponed for a few hours or canceled entirely. If flights are delayed or canceled, the client is responsible for paying for any additional meals and hotel nights. However, in the event of severe weather, purchased airline tickets will be fully refunded. As a result, it’s a good idea to pack extra cash in case you need it for additional meals and lodging.

Depending on the location, size of your group, and availability, you may have to pay more if you decide to use the helicopter service.

In addition, Highland Eco Trek disclaims all liability for expenses incurred due to a missed international flight; nevertheless, they will help arrange other transportation if available. Please be aware that to avoid such situations, we might need to alter the schedule while on the field in response to unanticipated circumstances.

We always advise our customers to extend their trip by at least two or three days. By doing this, you will be able to adjust in the event of any disruptions and avoid missing your overseas flight.

unforeseen circumstances
If any unforeseen events—such as natural disasters, inclement weather, emergencies, political upheaval, or war—cause you to have to postpone your trip, we will work to reschedule it as soon as feasible. Even if it might not be the trip of your dreams, your hard-earned money won’t be wasted.

Acceptance of Risk
Travelers and trekkers must accept some of the hazards and perils involved with the trip. This covers sickness or mishaps in isolated locations without access to medical facilities, loss or damage to luggage, travel delays or cancellations, car problems, natural disasters, and any other personal belongings, concluding the expedition sooner in any case. The traveler/trekker agrees that no liability will be placed on the company, its workers, agents, or any other participant about personal injury, illness, death, or delay of the trekker, or about any loss or damage, regardless of cause, to the trekker’s property while on the trip. Clients are responsible for covering any additional costs. Travel insurance is therefore highly recommended.

Overage Fee
On trekking and tour packages offered by HET, twin-sharing accommodations, guides, and porters are supplied.

Therefore, if a client does not have a companion to share a guide, porter, or lodging with, they will just need to pay a single extra fee. Moreover, there is a surcharge that is not covered under the terms of the client-company booking agreement.

Changing Prices
Supposedly not, yet there are some legitimate situations when we might be forced to make adjustments, such as severe fluctuations in the value of the currency, inflation, or governmental actions. However, the likelihood of these cases occurring is hardly negligible.

While Traveling
If a passenger disrupts the peace of the trip by embarrassing or upsetting other tourists, the trip may have to be ended. The customs and manners of the locals must be respected. Should you engage in any illegal activity while traveling, HET will not be held responsible for any resulting damages.

Complaints Please let the leader or guide know about any issues you may have had with the trip as soon as possible so we can address them.
